UsersFinding your sessions

Finding your sessions

The Sessions page lists every session dashboard you are allowed to open, newest first, within a date range you choose. Each row is one session dashboard. Select a row to open it.

The list is grouped by day. Each day has a heading with the date, and the rows under it belong to training that started on that day. The dashboard remembers your filters in the page address, so you can bookmark a filtered list or send the link to a colleague with the same access.

What a row shows

Each row is a card with two lines.

The first line is the title. It shows the name of the session, then a dot, then the name of the scenario that was run. Under it come the participants. A single participant shows one name. A crew of three shows all three names. A larger unit shows the first crew and a “View More” control that expands to list the rest, with “View Less” to fold it away again.

The second line shows the date the training started (DD/MM/YYYY), the start time (24-hour clock) and how long the run lasted.

One run, several rows

A single training run can appear more than once. HEAT publishes one session dashboard per view the template defines, for example one for each trainee or one for each crew. Each of those is a separate row with the same scenario name and start time, but a different participant line. This is expected. Open the row whose participants match what you want to read.

Filters

The filters sit at the top right of the page. They apply immediately.

The trainee, date range and sort filters

Date range

The date filter shows the current range. It opens to a list of presets on one side and a calendar on the other.

PresetWhat it covers
Last 7 DaysToday and the previous six days. This is the default when you open the page.
Last 14 DaysToday and the previous thirteen days
Last 30 DaysToday and the previous thirty days
Last 12 MonthsToday and the previous 365 days
LifetimeEverything since 1 January 2020

For a custom range, pick a start date and an end date in the calendar. The filter then shows the two dates as “DD-MM-YYYY / DD-MM-YYYY”. A session is included when its training window overlaps the range, so a run that started the day before your range and finished inside it still appears.

Trainee

Instructors, Administrators and Developers see a second filter, “All Trainees”. Open it to pick one person. The list has a search box, “Search…”, so you can type part of a name instead of scrolling. Choose “All Trainees” to clear it.

With a trainee selected, the list shows only session dashboards that name that person as a participant. Trainees do not see this filter because their list already contains only their own sessions.

Sort

The sort control reads “Most Recent” by default and lists newest days first. Choose “Least Recent” to list oldest first. The sort applies to the day headings and to the rows under each heading.

Loading more

The list arrives in pages of 50 session dashboards. When more are available, a “Load more sessions” button appears under the last day. Press it to append the next page. The button disappears when there is nothing left to load.

Searching the Sessions list by session or scenario name is not available today. The only search box is inside the trainee filter and matches people, not sessions. To narrow the list, use the date range and the trainee filter together.

Empty and error messages

When the filters match nothing, the page shows “No sessions found” with the advice “Please adjust your search criteria or complete more training to generate your session list.” Widen the date range first. Most missing sessions are simply older than seven days.

When the list cannot be loaded at all, the page shows “Sorry, something went wrong”. The advice under it reads “Please refresh the page or log out and try again.” If refreshing does not help, the platform behind the dashboard is unavailable and your administrator needs to look at it.

When you open a session address that no longer exists, the page shows “Session not found” and “No dashboard exists for this dimension id. Check the id or pick a session from the list.” Go back to the Sessions page and choose the session from there.

Why a session may not appear

Work through these in order.

  1. Date range. The list opens on the last seven days. Choose “Last 30 Days” or “Lifetime” to check whether the session is older than that.
  2. Trainee filter. If a trainee is selected, only their sessions show. Reset it to “All Trainees”.
  3. Your role. A Trainee sees only sessions that list them as a participant. If you took part but are not named on the session, the training was recorded without your account attached. Ask your instructor.
  4. The session has no training window. A session dashboard is placed in the list by the start and end time of the training run. If the run was processed without those times, it cannot match any date range. Your instructor or administrator can check this in the Control Centre.
  5. Processing has not finished. A session dashboard appears only after HEAT has finished producing it. A run uploaded a few minutes ago may not be listed yet. Refresh the page after a short wait.
  6. Legacy dashboards. Sessions produced by older templates still appear in the same list and open in the older dashboard layout. They are not filtered out.

If none of these explains it, note the scenario name and start time and contact your administrator. They can see whether the run reached HEAT and whether processing succeeded.
